Monthly work · setup in month one

Your team using AI on real work in two weeks, then a new assistant every month.

In the first month we set up AI for your team, often on software you already pay for, and build five assistants, starting with the tasks in your audit. An assistant is a set of saved instructions for one task, like replying to enquiries. Your details go into one short document, your rulebook, which the AI reads before every task. Every month after, we add a new assistant or automation and keep it all working.

What your team can do after the first month

  • Answer an enquiry in your tone, with the right prices and policies
  • Turn notes from a site visit, or a voice memo, into a quote
  • Draft the week's posts or newsletter from what happened
  • Turn a meeting into a follow-up email and a to-do list
  • Show a new starter how it all works, with a one-page guide

What's included

In the first month: the AI setup

  • AI accounts, admin and security settings, on the subscription agreed in your audit or the one you already have
  • Your rulebook: what you sell and to whom, your prices and where they're kept, your tone and the words you avoid, your policies, what the AI must never share, and who approves what
  • Five assistants, starting with the tasks in your audit, each tested on three real examples from your work
  • A one-page AI policy for your team
  • Connections to your shared drive, Notion or Slack, if you use them
  • An hour with us, a short video for each assistant and a one-page guide

Every month after

  • One new assistant or automation, picked from the list in your audit. An automation runs on a schedule, like a Monday summary of new enquiries
  • Fixes when the AI tools change
  • Rulebook and assistant updates
  • A one-page note on what changed and the hours saved
  • Questions answered within two business days
  • A 30-minute review call every quarter

How the first month runs

Week 1

We write your rulebook with you and set up the accounts.

Week 2

We build the assistants, test them on your real work, and hand everything over in an hour with the person who'll look after it.

Weeks 3 and 4

Your team uses it on real work. We fix what needs fixing and agree what to build next.

What we need from you

  • Admin access to your AI subscription (you invite us, so no password is shared), or a decision on which one to buy
  • Your price list and descriptions of what you sell
  • Three to five examples each of emails, quotes or posts you like
  • Your policies, such as refunds, terms and opening hours
  • One person to look after it, and one hour for the handover

What we measure

Without shared assistants and written rules, AI stays a personal habit. A few people use it well, and everyone else uses it like a search engine.

Thirty days after the setup, we check how many of your team use it each week and how long the tasks in your audit take now, against the numbers we wrote down at the start. After that, a one-page note each month shows what we added and the hours it saved.

When the setup is done

We agree these tests before we start:

  • You approve your rulebook
  • Each assistant passes its three test tasks
  • The person who'll look after it builds a new assistant without help during the handover hour

Our guarantee. If something fails one of these tests when we hand it over, we keep working for free until it passes. If it still fails one at the end of the first month, you can stop then, and you won't owe the other five months.

FAQ

Questions about monthly work.

Today, each person uses it their own way. After the setup, your team shares assistants that already know your prices, tone and policies, and one person looks after them.

Often the one already in your Google Workspace or Microsoft 365. If that isn't enough, a business subscription costs about $20 to $25 a person a month. The AI audit tells you which, and How we work explains how we choose.

Saved instructions the AI follows for one task, such as replying to enquiries. Your team picks it by name, and the person who looks after it can change it.

It stays in your own accounts, on a business subscription whose terms say your data isn't used to train the AI. Your AI policy tells your team what must never be pasted in, and your rulebook tells the AI what it must never share.

The first month sets AI up. The next five each add a new assistant or automation, so your team has time to use each one and you can see the hours saved in writing. After that, it's month to month.

Yes. Your proposal sets how much we build each month, and the monthly price follows from that.

Everything we set up stays in your accounts, and your team can keep running it. After the first six months, you can stop with 30 days' notice.
